Setting up the employee master file
You use the Employee Master (HREMEN) window to set up the employee master file. The employee master file contains basic employee demographic, veteran, Equal Employment Opportunity (EEO), and pay cycle information. The information you type here updates the employee master file in Payroll.
Information from the employee master file can be sent to the Person Entity (PE) module if you select this option in the Human Resources System Setup (HRRQSS) window. Many of the fields in the employee master file are validated against tables found in HR primary tables (HRTB) and Nucleus Common Codes (NUUPCD).
Important: The PEOW/xxxx common code can be configured to default the PEUPPE Security Code and you can use the HRPY/SSNCHECK to control how duplicate Social Security Numbers are handled within the system.For more information about common code configuration, refer to the Common Codes Guide posted on the Customer Support Portal or select here to view the online version.
The Employee Master window contains the following tabs:

Follow these steps to set up a new employee master file:
- Open the window by typing HREMEN in the Search field and pressing Enter.
- Select Add.

Complete the following fields in the window header:
- Action: Select the action or purpose for Typing or modifying a record.
- Generate ID: Select the method you want to use to generate the employee ID. The ID number is the key value for all employee records. We recommend that you select A to automatically generate the employee ID number. Valid options are:
- A (auto generate)
- C (entity ID plus auto-generated value)
- E (entity ID plus Social Security Number)
- I (Social Security Number plus entity ID)
- M (manual entry)
- R (use random number generator)

S (Social Security number)
- Entity: Select the entity code that identifies an employee's security clearance. This validates to entity codes defined in the Entity Codes (HRRQEN) window.
- Employee ID: Enter the employee's identification number. This is the primary identifier for an employee throughout Human Resources (HR) and Payroll (PY). If the Add/Update PE DB field is set to Y on the HR System Setup window, the Person Entity (PE) database is updated with the employee ID.
- SSN: Enter the employee's Social Security number. This field is only accessible in Add mode. Once the record is added, any changes to this field can be made through the Change ID Utility (HRUTCI) window. If the Add/Update PE DB field is set to Y on the HR System Setup (HRRQSS) window, the PE database is updated with the Social Security number.
- Name: Displays the name of the employee in last name, suffix, first name, and middle name or initial format. If the Add/Update PE DB field is set to Y on the HR System Setup (HRRQSS) window, the PE database is updated with the employee name.
- Type: Select the employee type that is used to group or categorize this employee, such as classified, certified, full time, or part time. This field validates to the code ID EMPLOYEE_TYPE defined in the Entity Specific Misc HR Codes(HRTBCE) window.
- Classification: This Employee classification is used to determine ACA benefit eligibility. The Classification code consists of a general category list the IRS references when discussing eligibility assessment. The standard list includes: Full-Time, Variable Hour, and Seasonal. Classification codes are created on the HR Non-Entity Specific HR Codes (HRTBHR) window.
- HR: Select the HR status code that is used to group or categorize the employee's status, such as active, inactive, retired, or terminated. This code is specific to HR and may differ from the Payroll status code. Possible values are restricted to those defined in the HR Non-Entity Specific Codes (HRTBHR) window where the code ID is EMPLOYEE_TYPE.
- PY: Select the Payroll status code. This value identifies the status as it is viewed within the payroll department and may differ from the HR status code. If the employee is to receive payroll action of any kind, this value must be A (active). Possible values are restricted to those codes in the HR Non-Entity Specific Codes (HRTBHR) window where the code ID is PY_EMPLOYEE_STAT.
- Salutation: Select the employee's salutation code. For example, Mrs., Mr., Dr., etc. If the Add/Update PE DB field is set to Yon the HR System Setup window, the PE database is updated with the employee salutation.
- Last Name: Enter the employee's last name.
- First Name: Enter the employee's first name.
- Middle Name: Enter the employee's middle name.
- Suffix: Select the employee's suffix code (example, Jr., Esquire, etc.). If the Add/Update PE DB field is set to Yon the HR System Setup window, the PE database is updated with the employee suffix.
- Former: Enter the employee's former last name if applicable.
- Preferred First: Enter the employee's preferred first name, such as "Bob" for "Robert."
- Requisition #: Displays the requisition number from which the employee was hired, if the employee was hired through the Applicant module.
- Approval: Select whether the record is ready for approval or to send. If the record is ready to be sent to Payroll, this field must indicate Send. Possible values are restricted to those defined in the Entity Specific HR Codes window on the Entity Specific Codes tab (on HRTBCE), where the code ID is APPROVAL_CODE. Your selections are:
- APPR: Request approval before sending updates to Payroll
- SEND: Send updates to Payroll
- WAIT: Save updates in HR only
- User ID: Displays the ID of the user who last updated the record.
- Updated: Displays the date and time of the last update to the record.

Complete the following fields on the Quick Entry tab:
Note: These fields are also located on subsequent tabs.
- Hire Date: Enter the employee's current hire date. It may differ from the original hire date value.
- Original Hire Date: Enter the original hire date. It may differ from the hire date if the individual was a previous employee and is returning to work at the same entity.
- Date of Birth: Enter the employee's birth date.
- Age: Displays the employee's current age. This field is system-defined based on the date you entered in the Date of Birth field.
- Bargaining Unit: Enter the bargaining unit associated with the employee record. A bargaining unit is a group of workers within a plant, firm, occupation, or industry that on the basis of commonality of interest or production process, is determined to be the appropriate unit for collective bargaining purposes. Possible values are restricted to those defined in the Entity Specific HR Codes (HRTBCE) window on the Bargaining Units Codes tab.
- Days Worked: Enter the number of days per year the employee will work. This information is critical to retirement processing.
- Periods Worked: Enter the number of periods per year the employee will work. This value is critical to retirement processing and reporting.
- Periods Paid: Enter the number of periods to be paid. If the employee is on a monthly payroll, the number would be 12. If the employee is paid on a bi-weekly payroll, the number of periods would be 26.
- Calendar: Select the employee's primary calendar. Each employee is associated with a calendar. If multiple positions are assigned to an employee, he or she may have different calendars. Possible values are restricted to those defined in the Payroll Calendar Definitions table.
- Pay Cycle: Enter the pay cycle that refers to when the employee receives a pay check. For example, bi-weekly, monthly, etc. Possible values are restricted to those defined in the HR Non-Entity Specific Codes (HRTBHR) window, where the code ID is PAY_CYCLE.
- FTE: The employee's total full-time equivalency (FTE). An FTE is a way to measure a worker's involvement in a project. An FTE of 1.0 means that the person is equivalent to a full-time worker while an FTE of 0.5 signals that the worker is only half-time. It cannot be calculated for all pay assignments as this value is needed in the calculation for the pay assignment effort.
- Check Dist: Enter the check distribution code that notifies Payroll where the employee's check is sent. Possible values are restricted to those defined in the Entity Specific HR Codes (HRTBCE) window on the Entity Specific Codes tab, where the code ID is CHECK_DIST_CODE.
- Hispanic / Latino: Select whether the employee is of Hispanic or Latino origin. This term is used to describe any person whose origins are Mexican, Cuban, Puerto Rican, South or Central American, or any other Spanish culture or origin, regardless of race.
- Gender: Select the employee's gender. You define status codes in the HR Non-Entity Specific Codes (HRTBHR) window, where the code ID is GENDER_CODE.
- Race: Select the employee's race. For example, Asian male, white female, black male, etc. Possible values are restricted to those defined in the Nucleus Common Codes (NUUPCD)window with a category of PYAA.

Notes: Enter miscellaneous notes associated with this employee record.

Complete the following fields on the Primary tab:
- Bargaining Unit: Enter the bargaining unit associated with the employee record. A bargaining unit is a group of workers within a plant, firm, occupation, or industry that on the basis of commonality of interest or production process, is determined to be the appropriate unit for collective bargaining purposes. Possible values are restricted to those defined in the Entity Specific HR Codes (HRTBCE) window on the Bargaining Units Codes tab.
- Days Worked: Enter the number of days per year the employee will work. This information is critical to the retirement processing.
- Periods Worked: Enter the number of periods per year the employee will work. This code is critical to retirement processing and reporting.
- Periods Paid: Enter the number of periods to be paid. If the employee is on a monthly payroll, the number would be 12. If the employee is paid on a bi-weekly payroll, the number of periods would be 26.
- Calendar: Select the employee's primary calendar. Each employee is associated with a calendar. If multiple positions are assigned to an employee, he or she may have different calendars. Possible values are restricted to those defined in the Payroll Calendar Definition (PYUPCA) window.
- Pay Cycle: Enter the pay cycle that refers to when the employee receives a pay check. For example, bi-weekly, monthly, etc. Possible values are restricted to those defined in the Non-Entity Specific Codes (HRTBHR) window, where the code ID is PAY_CYCLE.
- Salary Anniversary Month: Enter the month an employee is eligible for a salary increase.
- Day Patch: Select the code for daily patching. This is a process by which actual hours worked are derived from the work schedule codes as listed in the day code section of the calendar. Possible values are restricted to those defined in Static Codes table.
- Location: Select the employee's work location. Possible values are restricted to those in the Entity Specific HR Codes (HRTBC) window on the Location tab.
- FTE: Enter the employee's total full-time equivalency (FTE). An FTE is a way to measure a worker's involvement in a project. An FTE of 1.0 means that the person is equivalent to a full-time worker, while an FTE of 0.5 signals that the worker is only half-time. It cannot be calculated for all pay assignments as this value is needed in the calculation for the pay assignment effort.
- Benefit FTE: Enter the FTE to be used in benefit calculations. The benefit FTE is automatically preset to 1.00000. There are instances when the FTE value used when considering the calculation of benefit plans differs from the preset value. For example, if the employee’s total FTE needs to be used, the value can manually be entered, or if the Benefit FTE field is left blank. Upon tabbing from the field, the employee’s total FTE is inserted into this field.
- Credential Holder: Select whether the employee holds a credential. If the employee already has a record in the Credential Holder window, this field is selected.
- FLSA: Select whether to use the FLSA code for reporting purposes in Payroll. The Fair Labor Standards Act (FLSA) provides employers and employees with the information they need to understand Federal minimum wage, overtime, child labor, and record keeping requirements.
- Check Dist: Select the check distribution code that notifies the payroll department where the employee's check is to be sent. Possible values are restricted to those in the Entity Specific Misc HR Codes (HRTBCE) window on the Entity Specific Codes tab, where the code ID is CHECK_DIST_CODE.
- Department: Select the department associated with the employee's location or position. It is generally used for report sorting purposes. Possible values are restricted to those in the Entity Specific Misc HR Codes (HRTBCE) window on the Entity Specific Codes tab, where the code ID is DEPARTMENT_CODE.
- Division: Select the division code that represents the primary division associated with the employee. If the division organization is not utilized, leave this field blank. Possible values are restricted to those in the Entity Specific Misc HR Codes (HRTBCE) window on the Entity Specific Codes tab, where the code ID is DIVISION_CODE.
- PCN: Displays the position control number from the employee's active primary pay assignment (PM).
- Position: Displays the position code from the employee's active primary pay assignment record. This code defines what the employee who holds the position does.
- PCN FTE: Displays the position control number FTE from the employee's active primary pay assignment record.
- Annual: Displays the annual salary from the employee's active primary pay assignment record.
- Period: Displays the employee's pay period from the employee's active primary pay assignment record.
- Daily: Displays the daily salary from the employee's active primary pay assignment record.
- Hourly: Displays the hourly salary from the employee's active primary pay assignment record.

Complete the following fields on the Addr Info tab:
- Public/Private: Select whether to define the phone numbers and addresses as public or private. The public or private code is used to determine which phone numbers and addresses are printed on letters, viewed to the user, and copied in phone books. Possible values are restricted to those in the HR Non-Entity Specific Codes (HRTBHR) window, where the code ID is PUBLIC_PRIVATE.
- Address: Enter the first and second lines of the employee's primary address. The system automatically assigns an address type of PM to this record. The PM code must be established in the Nucleus Common Codes (NUUPCD) with a category of PEAD and ledger @@. If the Add/Update PE DB field is set to Y in the Human Resources System Setup window on the Generic Info tab, the PE database is updated with the address.
- City: This field is system-defined based on zip code but can be overridden. If the Add/Update PE DB field is set to Y in the Human Resources System Setup (HRRQSS) window on the Generic Info tab, the PE database is updated with the city.
- County: Select the county code associated with the employee's address. Possible values are restricted to those defined in the HR Non-Entity Specific Codes (HRTBHR) window, where the code ID is COUNTY.
- State: The state code is system-defined based on the zip code but may be overridden. Possible values are restricted to those defined in Nucleus Common Codes (NUUPCD), category PEST, ledger @@. If the Add/Update PE DB field is set to Y in the Human Resources System Setup (HRRQSS) window on the Generic Info tab, the PE database is updated with the state code.
- Country: Select the country code associated with the primary address. Possible values are restricted to those defined in Nucleus common codes, category PECO, ledger @@. If the Add/Update PE DB field is set to Y in the Human Resources System Setup (HRRQSS) window on the Generic Info tab, the PE database is updated with the country code.
- Zip: Enter the employee's zip code and zip code extension. Based on the zip code, the system populates the city and state information. Possible values are restricted to those defined in the Person Entity Zip Code Translation Tables (PEUPZP) window. If the Add/Update PE DB field is set to Y in the Human Resources System Setup (HRRQSS) window on the Generic Info tab, the PE database is updated with the zip code.
- Phone 1: Enter the employee's primary phone code, phone number, and extension. The phone code value indicates the type of phone number. For example, home, business, office, etc. Possible values are restricted to those defined in Nucleus common codes, category PEPH, ledger @@. If the Add/Update PE DB field is set to Y in the Human Resources System Setup (HRRQSS) window on the Generic Info tab, the PE database is updated with up to three telephone codes.
- Phone 2: Enter the employee's additional phone code, phone number, and extension. The phone code value indicates the type of phone number. For example, home, business, office, etc. Possible values are restricted to those defined in Nucleus Common Codes (NUUPCD), category PEPH, ledger @@. If the Add/Update PE DB field is set to Y in the Human Resources System Setup (HRRQSS) window on the Generic Info tab, the PE database is updated with up to three telephone codes.

E-Mail: Enter the employee's e-mail address.

Complete the following fields on the Misc Dates tab:
- Hire Date: Enter the employee's current hire date. It may differ from the original hire date value.
- Original Hire Date: Enter the original hire date. It may differ from the hire date if the individual was a previous employee and is returning to work at the same entity.
- Date of Birth: Enter the employee's birth date.
- Age: Displays the employee's current age based on the date you entered in the Date of Birth field. This field is system-defined.
- Dist Sen: Enter the employee's district seniority date. This is used for reporting purposes. The field can also be used for other purposes by entities not using district seniority dates.
- Pos/PCN Sen: Enter the seniority date of the employee's position and position control number.
- Longevity: Enter the longevity date used for seniority or additional pay purposes. It indicates the additional service time being credited to an employee.
- Deferred Pay: Select the deferred pay code that defines how the employee's default pay string is defined when associated with deferred pay. You enter a value in this field if the employee has a zero dollar pay line for some time period during the year. For example, if the employee is on deferred pay and needs a pay line active for the summer months or if an employee is not on deferred pay but receives some contribution amounts during a period of time where no salary is earned per days worked.
- Lump Sum: Select whether to enable an employee's ability to elect to have their pay given in lump sums instead of spread equally. Contribution information is stored on the Basic Requirements Definition window. Possible values are restricted to those defined in the Entity Specific Misc HR Codes window, where the code ID is LUMP-SUM_PAY.
- Last Paid: Enter the date used to calculate an employee's last pay check.
- Last Worked: Enter the last date the employee physically worked for the organization.
- Df: Select the code that defines the 39 month default pay option. This field is used when an employee is terminated, and it relates to reemployment eligibility and rights. For example, use the last date worked, use the last date paid, or use the termination date.
- 39 Month Exp: The 39 month re-employment expiration date is system-defined based on the Df field (39 month default field) code. Enter a different date to override the preset date.
- Deferred Pay Option: Select whether a portion of an employee’s check is deducted for payment and salary during their off months (10 month employees, etc.).
- End Old Assignments: Enter the date you want to use to close the contribution and deduction assignment.
- Begin New Assignments: Enter the beginning date of the new contribution and deduction assignments.

Complete the following fields on the EEO Info tab:
- Hispanic / Latino: Select whether the employee is of Hispanic or Latino origin. This term is used to describe any person whose origins are Mexican, Cuban, Puerto Rican, South or Central American, or any other Spanish culture or origin, regardless of race.
- Race: Select the race to be used for the Equal Employment Opportunity (EEO) informational reporting. For example, white female, black male, etc. Possible values are restricted to those defined on the Nucleus Common Codes (NUUPCD) window, category PYAA.
- Veteran Status: Select the veteran status of the employee. This is used for VETS-100 and reporting additional EEO information. Possible values are restricted to those in the HR Non-Entity Specific Codes (HRTBHR) window, where the code ID is VETERAN_CODE.
- Gender: Select the employee's gender. For example, male, female, or unknown. Possible values are restricted to those defined in the Non-Entity Specific Codes (HRTBHR) window where the code ID is GENDER_CODE.
- Disabled Status: Select the disability code to be used for EEO informational reporting. For example, blindness, mental illness, etc. Possible values are restricted to those in the HR Non-Entity Specific Codes (HRTBHR) window where the code ID is DISABILITY_CODE.
- Marital Status: Select the marital status used for personal information and EEO reporting. It is not the value used for mandatory deductions such as federal or state income tax. Possible values are restricted to those in the HR Non-Entity Specific Codes (HRTBHR) window, where the code ID is MARITAL_STATUS.
- Reasonable Accommodation: Select the code that describes an accommodation provided to an employee with a disability. For example, "AP" (assigned parking), "EQ" (special equipment), etc. Possible values are restricted to those in the HR Non-Entity Specific Codes (HRTBHR) window, where the code ID is REASONABLE_ACCOM.
- Over 40: This field is system-derived and read only. This is only for EEO purpose.
- Race: Select the code that describes the additional race of the employee. Possible values are restricted to those defined on the NUCLEUS Common Codes (NUUPCD) window, with a Category of PYAA.
- Description: This field is system-defined based on the information entered in the additional Race field.
- Enter up to 28 miscellaneous character fields on the Character subtab. You can use these fields for reporting or Payroll calculations.

Complete the following fields on the Dates and Numbers subtab:
- Date Fields: Enter up to six miscellaneous date fields. You can use these fields for reporting or Payroll calculations.
- Numeric Fields: Enter up to nine miscellaneous numeric fields. The first six fields are five decimal places and the next three fields are two decimal places. You can use these fields for reporting or Payroll calculations.

Complete the following fields on the Employee Information subtab:
- Education 1: Enter any miscellaneous education code that can be used based on the Payroll setup.
- Education 2: Enter any miscellaneous education code that can be used based on the Payroll setup.
- Sel 2: Enter any miscellaneous selection code that can be used based on the Payroll setup.
- Skill 5: Enter any miscellaneous skill code that can be used based on the Payroll setup.
- Misc 1: Enter any miscellaneous numeric code. Payroll common codes may be modified to interpret the data differently.
- Place of Birth: Enter the employee's place of birth.
- Citizenship Country: Enter the employee's country of citizenship. Possible values are restricted to those defined in the Nucleus Common Codes table.
- Seniority Adjustment: You use the Seniority Adjustment field with Payroll calculations to give additional seniority credit beyond what is indicated by the hire date. This is typically used in leave accrual calculations to give an employee credit for prior service in a similar organization.
- Smooth Tax Calculation: Enter Y to activate the smooth tax calculation option in Payroll. Otherwise enter N. The smooth tax calculation algorithm is applied to an employee's tax calculation in an earning spike situation in order to even out extra taxes.
- Record Modified: Enter Y to activate the record modified option in Payroll. Otherwise type N. This allows you to notify other processes in the system that a recalculation is necessary.
- Contract Type: Enter Y to activate the contract type option in Payroll. Otherwise type N. This is used to process different types of contracts for an employee.
- Daily Timecard Flag: Enter Y to activate the daily timecard flag in Payroll. Otherwise type N. This is used to process an employee's daily time card.
- STRS Member Status: Enter Y to activate the State Teachers Retirement System (STRS) member status option in Payroll. Otherwise type N.

No Patch Split: Enter Y to activate the no patch split option in Payroll. Otherwise type N. This is used to patch pay lines with an hour in an employee's pay class.
Note: Patching is an automatic payment feature in which an employee is given a predefined number of hours for a period. When exception hours are taken, such as vacation or sick time, the number of hours to be patched as regular are reduced.

Complete the following fields on the Employee Notes tab:
Note: You use the Employee Notes tab to record miscellaneous information regarding an employee. It contains one free-form data field that has automatic word wrap.
- Action: Select the action or purpose for entering or modifying a record.
- Note Type: Select the type of note being entered.
- Misc 1-4: Enter up to four fields of additional miscellaneous information associated with the employee.
- Notes: Enter any miscellaneous notes associated with the entry.

You use the Term Info subtab to determine the dates to be used by the Termination utility.
Complete the following fields on the Term Info tab:Note: You use the Termination utility to update Payroll-related data records from multiple windows. The termination information allows an end date to be inserted into each record of the associated windows. You can access the Termination utility by typing a termination date in the Term Dt field and a termination code in the first Term Cd field. The termination date automatically populates in each of the related fields. The dates can be accepted, changed, or left blank. After reviewing the fields, save the data to activate the utility and to access the Termination Processing report.
- Term Dt: Enter the date the employee terminated employment. If you complete this field, you must enter a termination code in the Term Cd field.
- Term Cd: Select the termination code associated with the termination date. For example, the employee has a new job or moved to a new location.
- Term Cd 2: Select a secondary termination code that explains in more detail why an employee was terminated. Possible values are restricted to those defined in the Entity Specific Miscellaneous Codes table.
- Last Worked: Enter the date the employee last worked for the organization.
- Last Paid: Enter the date used to calculate an employee's last pay check.
- Pay Assignments Pay End Dt: Enter the end date for pay assignments.
- Pay Assignments Calc End Dt: Enter the calculation end date for pay assignments.
- Pay Related Contributions End Dt: Enter the end date for pay-related contributions.
- Mandatory Assignments End Dt: Enter the end date for mandatory assignments.
- Direct Deposit End Dt: Enter the end date for direct deposits.
- Tax Sheltered Annuities End Dt: Enter the end date for tax sheltered annuities.
- Bonds End Dt: Enter the end date for bonds.
- Miscellaneous Assignments End Dt: Enter the end date for miscellaneous assignments.
- Benefit Master End Dt: Enter the end date for the benefit master records.
- Benefit Assignments End Dt: Enter the end date for the benefit assignments.

View the following fields on the Assoc Code tab:
- Associated Code: Displays codes associated with the pay assignment entries for an employee.

Associated Description: Displays the description of the codes associated with the pay assignment entries for an employee.

Update the following fields on the EEO Class tab:
- Class: Select the identification code for this EEO class. You create class IDs on the Entity Specific HR Codes (HRTBEC) window. You may have several different classes to choose from, such as City Gender Categories, State Gender Categories, and Federal Gender Categories. When you choose a class ID, the menu for the Value field is populated.
- Value: Select the value for this EEO class. The menu options are controlled by your selection in the Class ID field (above).

Select Save Changes.
Result: You have added an employee master record.
Note: In the side menu of the Employee Master (HREMEN) window, the following tools are available in the Tools list:
- Count Pay Assignments: Use this tool to open a window that shows the active pay assignments for the current selected employees that are active within the current pay date range. You can further refine which pay assignments qualify as active by configuring the HRPC/STATUS and HRPC/APPROVAL common codes.
- The HRPC/STATUS common code defines which status codes are not included in the pay assignment count. Use this code to exclude inactive pay assignments. If the common code does not exist, all status codes are included. For configuration information, refer to the Common Codes online reference guide.
- The HRPC/APPROVAL common code defines which approval codes identify an active pay assignment. Only pay assignments with these approval codes are counted. If the common code does not exist, all approval codes are included. For configuration information, refer to the Common Codes online reference guide

Update Applicant Info: Use this tool to update applicant information when a current employee wants to apply for new position. Select one of the following options:

Update Applicant Info for Employees in last QBE: Select this option to update the data for all the employees selected in the previous QBE (query by example).

Update Applicant Info for current Employees only: Select this tool to update the data for current employees only.

Global Processing Employee Records: Select this tool to process all business rules associated with records having an Approval code of SEND. For example, use this tool to send employee information to PY, PE, HREMPR, and other windows. Typically, you will use this utility when you load HR information through a database action and then need a mass update of that information into the Payroll, Person Entity, and other HR tables.
