Setting up the pay related contributions record

You use the Pay Related Contributions window to enter direct contributions relating to a specific pay assignment. If a contribution is attached to one or more pay assignments, a realistic value of the contribution displays on the Pay Assignments window.
The Pay Related Contributions window contains the following tabs:
Follow these steps to set up pay related contributions.

Open the window by typing HRPYPCin the Search field and pressing Enter.

Use the search field to locate the employee.

View the following fields on the window header:
Note: The window header consists of information from the Employee Master window. An employee must be previously defined in the Employee Master before you can create records on this window. All the header fields are read only. However, the fields are enabled when in the Search mode for use as search criteria.
- Entity: Indicates the employee's entity ID from the Employee Master record. The entity code is used to identify security clearance.
- Employee ID: Indicates the employee's ID number from the Employee Master record. This is the primary identifier for an employee throughout Human Resources (HR) and Payroll.
- SSN: Indicates the employee's Social Security number from the Employee Master record.
- Name: Indicates the employee's name from the Employee Master record. This is system-defined based on the employee ID.
- Type: Indicates the employee's type from the Employee Master record. This is system-defined based on the employee ID.
- HR: Indicates the HR employment status code from the Employee Master record. This is system-defined based on the employee ID.
- PY: Indicates the employee's Payroll status from the Employee Master record. This is system-defined based on the employee ID.

Complete the following fields in the "Additional Contribution" section:
- Action: Indicate the action or purpose for entering or modifying a record.
- As of Dt: This field is preset to today's date. It is used for reference purposes when determining whether a record is new or if existing information needs to be brought to the window for modification.
- FY: Indicate the fiscal year for the contribution. This field is preset to the fiscal year on the Base Requirements window but may be overridden.
- Priority: Indicate the priority of the calculation. The priority value is used in the calculations that display the additional pay contribution amounts on the Pay Assignments window.
- Beg/End Dt: Indicate the beginning and ending dates of the assignment.
- CDH: Indicate the contributions, deductions, and hours (CDH) number. Possible values are restricted to those defined in the Additional Pay Codes window.
- Add To PCN/ID: Indicate whether the assignment should be calculated into the total salary of the pay assignments. Possible values are restricted to those defined in the Static Codes table. If you select Add to the primary assignment, the following message displays:
This CDH is tied to a specific record type. If the employee has multiple pay assignments, then pay vectoring may need to be set up to ensure the CDH is posted correctly. - Rec Tp: Indicate the record type to which the contribution is associated.
- St: Indicate the contribution status code. Possible values are restricted to those defined in the Non-Entity Specific Codes table.
- Fq: Indicate the frequency code that defines the frequency or the type of Payroll for which this assignment is to be effective.
- Box: This is the box number in the Pay Period Definition window (PYUPPR), where the Fq field value for the frequency matching to occur is entered.
- PCN: Indicates the position control number associated with the contribution. This field is read only.

Pos: Indicate the position number associated with the selected position control number (PCN). This field is read only.

Complete the following fields on the Primary tab:
- Override: Indicate whether the Index, Amt/Pct, Axp, Pro-Rate, or Amt fields may be overridden.
- Index: If the Override field is selected, a new or different index value may be entered. The associated salary amount and amount expressed value from the Salary Schedule and Amount window is extracted and assigned.
- Sp Function: The special function code is a user-defined code that can be used for various purposes. Possible values are restricted to those defined in the Entity Specific Codes (HRTBCE) window.
- Amt/Pct: Indicates whether the associated amount is a dollar amount or a percentage.
- Axp: The amount expressed as code indicates how the dollar amount is to be interpreted in Payroll.
- Pro-Rate: Indicate whether the contribution is to be pro-rated during the calculation.
- Amt: Indicate the amount or percentage that is to be used for payroll calculation purposes.
- Use Calc Opt: Indicate whether calculation options should be considered when calculating the contribution amount.
- Add to Pay Assignment: Indicate whether the pay-related contribution amount is to be added to the actual amounts on the pay assignment.
- Calc % Hourly/Annual: This field is only used for percentage pay-related contribution entries. If the field is "A" (blank), then the percentage is calculated on the actual annual amount. If the field is “H” (hourly), then the percentage is calculated on the actual hourly amount.
- Spec 2-4: Indicate any special codes associated with the assignment. Special codes are used for various purposes, are user-defined, and are based on the Payroll setup.
- Vendor: Enter the vendor associated with the entry.
- XTD Year: Indicates the accumulator year used for displaying the XTD file values.
- CTD: Indicates the calendar-to-date payroll accumulator value for the CDH based on the XTD Year.
- FTD: Indicates the fiscal-to-date payroll accumulator value for the CDH based on the XTD Year.
- PTD: Indicates the period-to-date payroll accumulator value for the CDH based on the XTD Year.
- Notes: Enter any miscellaneous notes.
- Approval: Indicates whether the record is ready to send or has been sent to Payroll.
- User ID: Displays the ID of the user who last updated the record.

Updated: Displays the date and time of the last update to the record.

View the following fields on the HR Pay Assignment Info tab:
- As of Date: Indicates the “as of date” as established on the Primary tab. It is used for reference purposes on the Pay Assignments window when calculating the total salary.
- Rec Tp: Indicates the record type associated with the contribution.
- PCN: Indicates the position control number associated with the contribution.
- Pos: The position number associated with the selected PCN.
- Annual: The annual amount of the associated pay assignment.
- Per Period: The per period amount of the associated pay assignment.
- Daily: The daily amount of the associated pay assignment.
- Hourly: The daily amount of the associated pay assignment.
- Index: The index from the associated HR Pay Assignments record.
- Approval: Indicates whether the record is ready to send or has been sent to Payroll.
- User ID: The ID of the user who last updated the record.

Updated: The date and time of the last update to the record.

Press Save Changes when your entries are complete.
Result: You have set up pay related contributions for an employee.
