Overview of job code definitions
All job codes/classes are entered into the Job Code Definitions window (HRTBJB). Job codes typically represent large job groupings such as “CLRK”- clerks, “MNG”- managers, “FIRE”- fire department, “SCTC”- secondary school teachers. Job codes may be very specific and contain up to ten characters. This window updates the payroll job master (PYUPJB).
- Entity: The Entity is used to identify security clearance. Validates to Entity Codes (HRRQEN).
- Create the Job E/M: Indicates how the job code is to be created. If multiple entities exist and the same core job codes will be used, use "E", otherwise use "M". "E" will concatenate the Entity to the beginning of the character string entered into the job code field.
- Job Code: The job code typically refers to a generic job family/class. For example: CLER-Clerical, TCHR-Teacher. The code may contain up to ten characters. Keep in mind that if all 10 characters are used, the option to concatenate the location, job code and assignment number on the PCN/Position Code Definitions (HRTBPC) window is eliminated as there are not enough characters allowed by payroll to accommodate such action. For example: CLER01-Clerical Job 1, TCHRFRNC-French Teacher. This value is sent to the payroll system upon record approval and may be seen by entering PYUPJB from the main menu.
- Short Description: Indicates a short description. The description may appear on reports and/or windows.
- Long Description: Indicates a long description. The description may appear on reports and/or windows.
Overview of the Job Class/Code Table tab
- Action: Indicates the action/purpose for entering or modifying a record. Validates to HRTBHR, Code ID: ACTION_CODE.
- FLSA: Indicates if the job code is FLSA exempt. Updates payroll (PYUPJB), FLSA code (py_job_flsa_q).
- Job Type: Represents the job type. An entry here will transfer to the HRTBPC window when the job code is used. The entry is used for calculation purposes on HRPYPA. Validates to HRTBHR, Code ID: POS/JOB_TYPE.
- Workers Comp: Indicates the worker’s compensation code. Updates payroll job master (PYUPJB), worker comp code (py_job_wc_cd).
- EEO Job Group: Indicates the associated EEO code. It is for EEO reporting. Validates to HRTBHR, Code ID: EEO_CODE. Updates payroll (PYUPJB), EEO code (py_job_eeoc_cd).
- STRS: Indicates the STRS code to be associated with any position utilizing the job code. The STRS code may also be defined at a more specific level on HRTBPC, which is where it is typically set up (California only). The value updates the type field on the payroll job definition (PYUPJB) and is used in STRS calculations and reporting.
- Pre-Placement Exam: Indicates a pre-placement exam. Validates to HRTBHR, Code ID: PREPLACEMENT_EXAM.
- Paraprofessional Course: Indicates the job code is considered a Paraprofessional Course. Validates to the HRTBCT window where the Course Number begins with ‘PPRO’.
- Salary Schedule: Indicates the salary schedule to be associated with any position utilizing the job code. A default schedule entered here does not necessarily mean that any position associated with this job will be on this schedule. Validates to HRTBSC.
- Associated Notes ? - System derived field (Y/N) indicating whether job notes exist for the entity and job code combination.
- Column/Range: If a column value exists, it will default to any position utilizing the job code. A default range entered here does not necessarily mean that any position associated with this job will be on this range. Validates to Range Listings table .
- Supervisory: Indicates if the job code/class is supervisory in nature. Updates payroll (PYUPJB), supervisor (py_job_supr_q).
- Misc Code 1/CBEDS (CA) - Indicates the CBEDS or miscellaneous state tracking code value. The use of this field will vary based upon client set up. It can be used for job or position identification or for any other client defined purpose. Validates to HRTBHR , Code ID: CBEDS/MISC_CODE
- Misc Code 2-4: Indicates miscellaneous tracking code data. The use of this field will vary based upon client set up. It can be used for job or position identification or for any other client defined purpose.
- Misc Value 1-5: Represents miscellaneous values which are not sent to payroll.
- Ratio Factor 1-4: If ratio percentage factors exist, it will default to any position utilizing the job code on HRTBPC. Ratio factors are for use on HRPYPA where a base salary may be increased appropriately by indicating a ratio factor. Use of ratio factors could reduce the number of HRTBSL entries.
- Bargaining Unit: Indicates the associated bargaining unit. Validates to Bargain Unit Codes HRTBCE.
- Notes: Indicates any associated notes.
- Approval: The approval code indicates whether the record is ready to send or has been sent to payroll. If the record is to be sent to payroll it must indicate “SEND”. Validates to HRTBCE, Code ID:APPROVAL_CODE.
Overview of the Requirements tab
The Requirements window stores information describing a job. Records entered into this window could be used for creating job postings & storing coded information describing basic or minimum requirements for a job code. Records entered into this window could be used for creating job postings.
- Action: Indicates the action/purpose for entering or modifying a record. Validates to HRTBHR, Code ID: ACTION_CODE.
- EEO Job Group: System derived from JOB CLASS/CODE TABLE based on the job code. The EEOcode value is for various EEO reports.
- FLSA: System derived from JOB CLASS/CODE TABLE based on the job code.
- Salary Schedule: System derived from JOB CLASS/CODE TABLE based on the job code.
- Location: Indicates the job location. Indicates where the job is located. Validates to HRTBCE(LOCATION CODES).
- Reports to Position: Indicates the position to which the job reports. Validates to POSTBLE (POSIQ window).
- Supervisory? - Indicates whether the position is supervisory.
- Number of People: Indicates the number of people to be supervised, if the job is of a supervisory nature.
- Job Purpose/Summary: Indicates the general purpose or summary of the job.
- Education: Represents the type of degree /desired. Validates to HRTBHR, Code ID: DEGREE_CODE.
- Licenses/Certs: Indicates if a license or certification is /desired. Validates to HRTBHR, Code ID: LICN/CERT_TYPE.
- Major: Indicates the desired/ educational major. Validates to HRTBHR, Code ID: EDUC_DISCIPLINE.
- Physical Demands: Indicates if the job is physically demanding and based on what factor. Validates to HRTBHR, Code ID: PHYSICAL_DEMANDS.
- Environment: Represents the type of environment where the job is located. Validates to HRTBHR, Code ID: ENVIRONMENT_CD.
- Other: Indicates an additional code value which is client defined. Validates to HRTBHR, Code ID: OTHER/MISC_CODE.
Overview of the Skills tab
The Skill window stores information describing essential duties and responsibilities for a job. Records entered into this window could be used for creating job postings.
- Action: Indicates the action/purpose for entering or modifying a record. Validates to HRTBHR, Code ID: ACTION_CODE.
- Duty/Skill: Represents a skill or duty involved with the job code. Validates to HRTBHR, Code ID: SKILL_CODE.
- Description: Indicates a long description. The description may appear on reports and/or windows.
- Required/Desired: Represents whether the skill/duty is (R) or desired (D).
- Years of Experience: Indicates the years of experience that are to be associated with the skill/duty.
- Notes: Indicates any associated notes.
Overview of the Responsibilities tab
The responsibilities window stores information describing a job, functions performed and supervisory/ other responsibilities. Records entered into this window could be used for creating job postings.
- Action: Indicates the action/purpose for entering or modifying a record. Validates to HRTBHR, Code ID: ACTION_CODE.
- Job Description/Function/Supervisory Responsibilities: Indicates a summary description of the job. It is one large field with word wrap.
Overview of the Notes tab
The Notes window stores general notes, restrictions, special duties, etc., associated with a job code/class. The Job Class/Code Table window must be set up before entering data into the NOTES window.
- Action: Indicates the action/purpose for entering or modifying a record. Validates to HRTBHR, Code ID: ACTION_CODE.
- Notes: Indicates any associated notes. This is an ideal area to publish job duties, special requirements and safety information. This is one large field with word wrap.
