Adding Credential Applicant information

Shortcut/mask: HRCRC2

Use the Credential Applicant Info window to add and track all Credential Application information.

Complete the following steps to add credential information for an applicant:

  1. Open the window by typing HRCRC2 in the Search field and pressing Enter.
  2. Select Add (+).
  3. Complete the following fields in the Credential Applicant Information panel:

    • SSN: Type the credential holder’s Social Security number, or select the lookup () to search for it.
    • Name: Displays employee's name derived from the Credential Holder (HRCRCD) window based on SSN.
    • Employee ID: Displays the employee's ID derived from the Credential Holder (HRCRCD) window based on SSN.
    • Credential Status: Displays the credential status derived from the Credential Holder (HRCRCD) window based on SSN.
    • State Test Date: Displays the date derived from the Credential Holder (HRCRCD) window based on SSN. This may be an actual date or a time frame.
    • Term: Select the credential term from the drop-down list. The credential term is the duration of the credential. Example: The credential is active for 5 years, or it is cleared for use indefinitely.
    • Type: Select the type of credential from the drop-down list. The credential type refers to the type or kind of credential (Example: Basic Secondary, Primary Elementary, Administrators, etc.).
    • Document: Type the credential document number associated with this entry. If there is not a document number, type a placeholder value.
    • Notes: Displays the associated notes derived from Credential Holder (HRCRCD) based on SSN.
  4. Complete the following fields in the Credential Application Information panel:

    • Term: Select the application term code from the menu.
    • Degree: Select the degree code associated with the application.
    • Exam Code 1-3: Select the exam codes in the three fields.
    • Transcript: Type the applicant's transcript code.
    • Fee: Select this check box if the application fee amount is paid.
    • Finger Print: Select this check box if applicant's finger print was taken.
    • Experience: Select this check box if the experience requirement applies to this applicant.
    • CL469/Intent: Select this check box if this applicant is required to have an intent code filed for the CL469 Intent document (CA only).
    • Professional Growth: Select this check box if the growth requirement applies to this applicant.
    • Credential Copy: Select this check box if the credential copy requirement applies to this applicant.
    • Statement Employee: Select this check box if a statement is required.
    • 41CIC: Select this check box if this applicant is required to have a 41CIC code (CA only).
    • 41-4 Code: Select this check box if this applicant is required to have a 41-4 code (CA only).
    • Notes: Type notes associated with this entry.
  5. Select Save Changes.

    Result: You have added credential applicant information for tracking within the system.
