Adding Applicant Online question definitions
Use the Question Definition (HRAOQD) window to define individual questions and groups of questions that are used to build custom applications. Several standard question types with default questions are provided, but you can also create “Non-Standard” questions to address specific job application needs.
Complete the following steps to add a question definition:
- Open the window by typing HRAOQD in the Search field and pressing Enter.
- Select Add (+).

Complete the following fields in the General Information panel:
- ID: Type a unique name for this question.
- Version: This field displays the number of revisions made to this question. It defaults to 1 for new questions.
- Type: Select the type of question you are defining from the drop-down list. All types, except for Non-Standard, have default questions attached to them. These are not visible until the initial question is saved.
- Internal Description: Type a description of what this question covers for internal reference.
- Min Responses: Type the minimum number of responses that will be accepted by the application. This must be at least 0 and less than the value in the Max Responses field.

Max Responses: Type the maximum number of responses that will be accepted by the application. This must be at least 1 and greater than the value in the Min Responses field.
Example: For an Education question type, you may want to have a minimum of one entry for high school, and a maximum of two entries to allow for applicants who went to college. Your Min Responses would be 1, and Max Responses would be 2.
Note: At this time, non-standard question types can't use the min/max feature.

Category: Select a category code for this question. You can group questions by assigning a category. You define categories on the HR Non-entity Specific Codes (HRTBHR) window with a code of AO_QUEST_CAT. The Code Value is what displays in the list. Example: Create an Education category and group both standard and non-standard questions using this field.
- Applicant Type: Use this field to specify whether a question is specifically designed for internal, external applicants, or both.

Complete the following fields in the Attachments panel:
- Attachments: Select the attachment code for this question. The options are:
- A (allowed)
- N (none)
- R (required)
- Attachment Type: Select the attachment type code for this question. Options include: AO_MISC (miscellaneous document), AO_Resume (resume), etc.
- Allow Web Links: Select this check box to allow applicants to include web links in response to this question.

Complete the following fields in the Content tab:
- Instructions: Explain how the applicant is expected to answer the question.
- Question: This data element is a free form text field that is presented to the user preceding the response controls used to collect the response from the applicant.

Select Save Changes.
Result: You have defined a question in the Applicant Online system.
