Defining applicant requisitions
Shortcut/mask: HRAPRD
Use the Applicant Requisition Definition window to define eligibility lists and to add postings and requisitions. After you complete the eligibility list on this window, requisitions are created automatically using the eligibility list information (for example, hurdles, degree requirements, etc.) as defaults.
The two primary functions of this window are:
- To define the basic information associated with the eligibility list or posting, such as position, salary, and location
- To establish the minimum requirements for a posting, such as hurdles, degrees, and licenses
The Requisition Definition window contains the following tabs:
Complete the following steps to define a new requisition:
- Open the window by typing HRAPRD in the Search field and pressing Enter.
- Select Add.

Complete the following fields on the Requisition Information panel:
- Entity: Select the entity from the drop-down list. The entity is used to identify the security clearance. This is a required field and it validates to the Entity Codes (HRRQEN) window.
- Action: Select the action you want to perform or the purpose for adding or modifying the record. This is a required field and it validates to the code ID ACTION_CODE in the HR Non-Entity Specific Codes (HRTBHR) window.
- Job Posting: Type the requisition number. This field indicates the eligibility or posting number for the entry. You can manually type the number or select Generate add a system-generated number. For a posting code, the system-generated number is preceded by PS. For an eligibility code, the system-generated number is preceded by EL.
- Fiscal Year: Select the applicable fiscal year from the drop-down calendar.
- PCN: Type the position control number (PCN) to be associated with the requisition or use the lookup to search for one. This number validates to the PCN/Position Code Definitions (HRTBPC) window where the entities match.
- Position: Type the position number that is associated with the PCN number entered above or use the lookup to search for one. This value validates to the PCN/Position Code Definitions (HRTBPC) window where the entities and PCN match.
- Application ID: Select the look up (
) to find the predefined application and attach it to the requisition.
- Application Version: Displays the version of the attached application. This field is auto-populated when the application is attached to this requisition using the look up.

Complete the following fields on the Requisition Status panel:
- Posted Date: Select the posted date associated with this requisition from the drop-down calendar.
- Closing Date: Select the closing date associated with this requisition.
- Approval Date: Select the date this requisition was approved.
- Posting Type: Select the type of posting from the drop-down list. The type of posting is used to identify how a requisition or posting is being listed. Posting type could be either internal, external, or both. If the type is marked as “I” for internal, any applicant entered in the Posting Applicants (HRAPPS) window for the same requisition or posting number will need to be an active employee in the Employee Master (HREMEN) window.
- Status: Select the requisition or posting status. This is a required field and the codes are user defined. The status validates to the HR Non-Entity Specific Codes (HRTBHR) window.

Select the Primary tab and complete the following fields to define basic information associated with the eligibility list or posting:
- Position Type: Select the position type that is used to establish generic categories for postings and requisitions. This validates to the HR Non-Entity Specific Codes (HRTBHR) window.
- Location: Select the location associated with this requisition or posting. This field validates to the Entity Specific Misc HR Codes (HRTBCE) window.
- New/Replacement: Select N if this is a new position or R if this is a replacement.
- Replaced: Type the employee ID of the person being replaced. This field validates to the Employee Master (HREMEN) window.
- Hours/Day: Type the number of hours per work day.
- Days/Year: Type the number of work days per year.
- Open: Type the number of available positions.
- Minimum Date: Select the minimum date that is associated with salary indexes. This date is used to obtain the minimum amount expressed as(AXP) value and the salary amount.
- Min. Index: Type the minimum salary index associated with and used to obtain the AXP and salary values or use the lookup to search for one. This field validates to the Salary Definitions (HRTBSL) window.
- Min Pay Type: Select the minimum pay type code for the salary indexes. The code defaults based upon the entered index, but you can override it. It validates to system codes.
- Min. Salary: Type the minimum salary amount.
- Maximum Date: Select the maximum date that is associated with salary indexes. This date is used to obtain the maximum AXP value and the salary amount.
- Max. Index: Type the maximum salary index associated with and used to obtain the AXP and salary values or select the lookup (
)to search for one. This field validates to the Salary Definitions (HRTBSL) window where the entities match, and the salary effective dates match the minimum or maximum date, respectively.
- Max Pay Type: Select the maximum pay type code for the salary indexes. The code defaults based upon the entered index, but you can override it. It validates to system codes.
- Max. Salary: Type the maximum salary amount.
- Notes: Type any additional notes that you want to associate with the requisition.

Approval: Select the approval status in the first field and the approval date in the second field. The approval date refers to when the requisition or posting was officially approved. The approval code and date must be completed before the posting can be assigned to applicants on the Posting Information (HRAPPS) window.
Note: The WAIT status is designed to have departments initiate the setup and qualifications for a requisition. The requisition is then reviewed by the HR Manager and moved into an official and available posting. Change the status from WAIT to SEND and the open position can be assigned to an applicant on the Posting Information (HRAPPS) window. This field validates to the Entity Specific HR Codes (HRTBCE) window.
The following are the display-only fields in the Requisition Definition tab:
- Filled: Indicates the number of positions that have been filled. This is a system-generated field.
- Min Score: Indicates the minimum score an applicant must fulfill to automatically be associated with a new posting. The field can only be accessed in Browse mode.
- Job Posting: Indicates the requisition number to use when creating a posting from an eligibility list. You can enter a value in the field in Search mode or select Generate to add a system derived value.
- Create Job Posting from List: This field is enabled in the Search mode. Select this check box to generate a requisition from the eligibility list. Any applicant associated with the eligibility list in the Posting Information (HRAPPS) window automatically has a posting record.

Select the Minimum Requirements tab and complete the following fields to establish the minimum requirements for the posting:
- Type: Select the type of requirement, such as educational degree, license, etc. This validates to system codes.
- Requirement: Select the code associated with the type. All the code values originate from the HR Non-Entity Specific Codes (HRTBHR) window based on different code IDs except for the CRED type codes that come from the Major/Minor Codes (HRTBCRMA) window. For example, if the type is DGRE (degree), then the code indicates the type of degree such as Bachelors, Masters, etc.
- Weight: Type the weight value of the requirement.
- Minimum Score: Type the minimum score associated with this requirement.
- Publish: Select this check box if you want the requirement to display within the Applicant Online system.

Complete the following fields on the Notes tab to record miscellaneous notes relating to a requisition or posting:
- Action: Select the action or purpose for entering or modifying a record.
- Notes: Type the text you want as associated notes.

Select Save Changes.
Result: You have defined a new requisition and you can use the Posting Information window to associate it with specific applicants.
