Defining a credential requirement code

If your site uses the Credential module, all position/job code credential requirements must be defined using the Credential Requirement Codes window (HRTBCRRQ) prior to making a PCN & position assignment on HREMEN. This window enables the system to automatically verify that the employee being assigned a particular position holds the required/correct credentials. When an employee is given a PCN and position assignment on HREMEN, the system will go to this table to look up the required credentials for the given position/job. The system will then go to HRCRCN to see what credentials the employee holds. If a match fits, the system allows the assignment to proceed. If a match does not fit, the system issues a warning message that credential requirements have not been satisfied and updates the reason code with “00-REQ. CRED'S NOT MET.”

Complete the following steps to define a credential requirement code:

  1. Open the window by typing HRTBCRRQ in the Search field and pressing Enter.
  2. Select Add (+).
  3. Complete the following fields in the Position panel:
  4. Entity: Select the entity ID to identify security clearance. This field validates to Entity Codes (HRRQEN).
  5. Use Code: Select JB to use the job code, or the PS to use the position number to track the credential requirements. The tracking method you should select depends upon how position control and the HRTBJB window are set up. If the job code is specific enough (i.e., every employee who receives a PCN & position associated with job code X), select JB to verify by job code. Similarly, if the position is used, select PS to verify by position.
  6. Position: If you select PS in the Credential Use Code field, you must also select a position. This field validates to PCN/Position Code Definitions (HRTBPC).
  7. Job Code: If you select JB in Credential Use Code field, you must also select a job code. This field validates to the Job Code Definitions window (HRTBJB).
  8. All Credentials Required: Select this check box if all credential requirements entered and associated with all record types are to be required for a given position or job code.
  9. Grouping Code: Select a grouping code to identify whether a line item is required or optional. This field validates to System codes.
  10. Action: Select a code to indicate the action/purpose for entering or modifying a record. Validates to HR Non-Entity Specific Codes, Code ID: ACTION_CODE (HRTBHR).
  11. Effective Dates (Begin Date and End date) - Type the dates that the requirements are in effect or select the calendar to select them.

  2. Required? - Select the credential requirement code to identify whether a line item is required or optional. This field validates to System codes.
  3. Type: Indicates the credential type code. Validates to the Credential Type Code table (HRTBCRTC).
  4. Subject: Select the subject code to identifies the major/minor/ endorsement codes that may be assigned based on the given credential type. Validates to the Credential Types Holding window (HRTBCRTH). They system use table is created when data entry is performed on Credential Type Codes Table (HRTBCRTC).
  5. Table Type: The table type is system derived based on the subject code. If the subject code is NA (indicating that a subject code was not found), this field defaults to SU (for Major codes) or SA (for Minor codes). This field validates to System codes.
  6. MA/MI Code: Select the major/minor/endorsement code to identify what the credential holder can do with a given credential term and type. This field validates to Major/Minor Codes (HRTBCRMA).
  1. Select Save Changes.

Result: You have defined a credential requirement code for use in the Credential module.
