Checking employee credentials
Use the Credential Check Utility to check if an employee possesses the required credentials for the displayed PCN and Position. This is the same type of checking that occurs interactively on the Pay Assignment window (HRPYPA). The employee credentials are compared to the Credential Requirement Codes (HRTBCRRQ) set up for the position.
Complete the following steps to check employee credentials:
- Open the window by typing HRUTCC in the Search field and pressing Enter.
- Select Add (+).
- Complete the following fields:
- Entity: Select an entity associated with the employee and PCN and Position. You define entities in the Validates to Entity Codes (HRRQEN) window.
- From Posting Information? - If the field contains a Y, then the record was created by the credential checking feature in the Applicant Tracking system.
- Employee ID: Select the employee for which credentials are required to be checked. Employee IDs are created in the HR Employee Master (HREMEN) window. You can select the Browse button or press Ctrl+L to find an employee ID.
- Requisition: Select the requisition number which is associated with the PCN and Position. Requisition IDs are defined in the Validates to Requisition Definitions (HRAPRD) window.
- PCN: Select a PCN associated with the employee. If a requisition was entered, the PCN field automatically displays based on that requisition. You define PCNs in the PCN/Position Code Definitions (HRTBPC) window.
- Position: Select the position associated with the employee. If a requisition was entered, the Position field automatically displays based on that requisition. If there is no requisition entered but there is a PCN, the positions available for selection are filtered based on the PCN. You define the positions in the PCN/Position Code Definitions (HRTBPC) window.
- Credentials Met? - Displays the result of the credential check. Results could be one of the following:

Not found in HRTBCRRQ with a date range spanning the current date |
- Date Checked: Displays the date the credentials were checked.
- Misc 1-5: Enter miscellaneous codes if any.
- Notes: Enter notes associated with the credentials check run.
- Select Submit to run the utility.
Result: You have verified employee credentials.
