Using the Delete utility

You use the Delete utility to mass delete old or unwanted data from any window in the HR system. To run the utility, enter the window you want to delete data from along with the primary selection criteria. Then enter a comparison operator and data for the primary selection criteria. If a more detailed selection criterion is needed, you can use the Custom SQL field.
Complete the following steps to use the Human Resources delete utility:
- Open the window by typing HRUTDL in the Search field and pressing Enter.
- Select Add (+).
- Complete the following fields on the Delete utility window:
- Entity ID: Select an entity ID. Only data for the entity that matches the selection criteria is deleted from the selected table.
- From Window: Select a window from which you need to delete the data. Only those windows entered in the HR Delete utility setup display.
- Where: Select the field you want to use as primary selection criteria.
- Op: Select an arithmetic operator to use with the column in the Where field.
- Delete Date: If the Where field is a date type, enter the delete date to be used as the comparison date for the utility.

This deletes all entries from BENEINFO with a benefit end date that is less than 01/01/2018.
- Or Delete Str: If the column entered in the Where field is not a date type, enter a value to be used as a comparison value for the utility.

This deletes all entries from EMPPAY with a fiscal year equal to 2017-2018.
- From Group: Select a group from which to delete data. Only those groups entered in the HR Delete utility setup display.
- Custom SQL: Enter the custom select structured query language (SQL) code. This provides an additional selection criterion to further limit the records to be deleted.
- Notes: Enter any notes associated with the entry.
- Run By: Enter the ID of the person who ran the Delete utility.
- Run Date: Select the date the Delete utility was run last.
- Select Save Changes.
Result: You have deleted unwanted data from a window in the Human Resources subsystem.
