Requesting an employee salary change action

Shortcut/Mask: HRPASL

Use the HR Personnel Actions Salary Change (HRPASL) window to create and submit a change salary request for an employee (including one or more pay assignments). After you select an employee, you can select the navigation buttons to move forward or backward to view and update multiple pay assignments in a single request.

Note: The Minimum, Actual, Maximum, and Percent Increase fields are enabled when the Salary Schedule Type is set to a value other than 1. The minimum and maximum amounts are associated with the PCN and the Salary Schedule is defined on the Salary Schedule Codes (HRTBSC) window.

When browsing on this window, you can only view requests you made (you can't see the requests from other users).

Complete the following steps to create a salary change request:

  1. Open the window by typing HRPASL in the Search field and pressing Enter.
  2. Select at the top of the window.
  3. Complete or review the following fields:

    • Request ID: In Add mode, the Request ID is a read-only field. It defaults to NEW (new seed value).
    • Status Code: The Status Code is a read-only field indicating the status of the request. The system automatically tracks the status as the request is processed. Valid codes are:
    • RQ (request) The initial status in Add mode.
    • IP (in progress)
    • CL (closed)
    • CA (canceled)
    • RJ (rejected)
    • Employee ID: Type the ID of the employee associated with this change request or select to search for it. .
    • Reason Code: The user-defined reason code for this change. Reason codes are defined in the HR Non-Entity Specific Codes (HRTBHR) window with code PAF_SL_REASON_CD. Due to interactions within the HR system, you must configure the same options for PAF_SL_REASON_CD and the REASON_CD list.

      Note: When a Reason code (REASON_SL_CD) in HRPASL is used but does not exist in the REASON_CD list, the system defaults the code to 00 and the REASON_SL_CD description is used.

    • Effective Date: The date the change is to begin. If the request is approved, a new pay assignment is created with the start date as the effective date and the new information from this window. The previous pay assignment is end-dated, meaning the end date is set to 1 day prior to the new effective date.
    • Division: This field displays the employee division code from the Employee Master (HREMEN) window.
    • Hire: The date the employee was hired.
    • Bargaining Unit: The employee bargaining unit code from the Employee Master (HREMEN) window.
    • Primary Department: The employee's primary department code from the Employee Master (HREMEN) window.

  4. Select Save Changes after completing the fields in the top panel to populate the detail panels below.
  5. Review the following fields in the Employee Information section:

    • Record Type: The record type associated with the pay assignment for this employee on the Employee Pay Assignment (HRPYPA) window. For example, the record type for the employee's primary position is PM.
    • Position: The position title related to the pay assignment.
    • PCN: The employee position control number for this assignment.
  6. The Current section displays the current salary information for the pay assignment selected for the employee. This section is read-only. Review the following fields:

    • Schedule/Range/Step: This field displays one of two dynamic groups, depending on whether the Schedule/Range/Step or the IndxKey of the pay assignment has a specific schedule type (editable on the Salary Definitions [HRTBSC] window). If the schedule type of the IndxKey is 1, this field shows Dynamic Group1. If not, it shows Dynamic Group2. Group1 allows you to edit the Schedule/Range/Step field, while Group2 lets you edit the Amount field directly, within the constraints of a minimum and maximum. In Group1, where you are allowed to change the Schedule/Range/Step field, the amount is defined by the Axp field (editable on HRTBSL), the title of which is an echo field next to the amount (semi-monthly, for example).
    • Amount: The salary amount based on the value selected in the Schedule/Range/Step field (above).
    • Ratio Factor: The ratio factor (ratio_fact) and the ratio amount (Ratio_amt).
  7. Update the fields in the Proposed section to request changes to the employee information and to add the proposed new salary in this personnel action request. The new salary information displays in the same manner as the current salary and allows you to make changes to the step or amount based on the salary schedule code. Review or update the following fields:

    • Schedule/Range/Step: This field displays one of two dynamic groups, depending on whether the Schedule/Range/Step or the IndxKey of the pay assignment has a specific schedule type (editable on the Salary Definitions [HRTBSC] window). If the schedule type of the IndxKey is 1, this field shows Dynamic Group1. It’s not, it shows Dynamic Group2. Group1 allows you to edit the Schedule/Range/Step field, while Group2 lets you edit the Amount field directly, within the constraints of a minimum and maximum. In Group1, where you are allowed to change the Schedule/Range/Step field, the amount is defined by the Axp field (editable on HRTBSL), the title of which is an echo field next to the amount (semi-monthly, for example)
    • Amount: The salary amount based on the value selected in the Schedule/Range/Step field (above).
    • Ratio Factor: The ratio factor (ratio_fact) and ratio amount (Ratio_amt). The ratio amount is editable when the ratio factor (ratio_fact) is set to 5. To establish the ratio factor for a proposed salary, type the employee salary multiplier used to obtain an accurate value.
  8. Select Submit.

    Result: You have created an employee salary change request record and submitted the change request for approval. When the request is approved, a new CDH is added to the employee, an end date is added for the previous salary, and a new salary start date is set.
